There is no single best booking tool for UK small businesses. There are three or four good ones, and the right one depends on what you do and who you serve. We have set up booking systems for trades, salons, consultants, tutors, and wedding businesses. Here is the honest take on what works where.
Calendly: for consultants, coaches, and professional services
If you sell time (calls, consultations, coaching sessions), Calendly is the default choice. It connects to your Google or Outlook calendar, shows your real availability, and handles timezones properly.
The free plan is genuinely usable. You can offer one event type, connect one calendar, and take bookings from anyone with a link. Most consultants can operate for months on the free tier before needing to upgrade.
Where it struggles: anything involving multiple staff, physical resources, or anything other than one-to-one meetings. A barbershop cannot run on Calendly.
SavvyCal: the Calendly alternative
Newer, sharper design, and arguably nicer for the person booking with you. Shows both calendars side by side when you send a link, so finding a time that works is faster.
Costs £12 a month for the paid plan. Worth it if you do a lot of client meetings and want the booking experience to feel more premium. For most small businesses, Calendly does the same job for free.
SimplyBook.me: for service businesses with staff
If you have multiple staff, multiple services, and customers booking specific people at specific times, this is where you graduate to. SimplyBook handles salons, clinics, therapists, and anywhere with a roster of people offering different services.
It takes deposits, sends reminders, handles cancellations, and connects to payment tools. Costs from £8 a month for basic plans, up to £30 for more complex setups. The interface is dated but everything works.
Acuity Scheduling: between Calendly and SimplyBook
Owned by Squarespace. Sits between Calendly (too simple) and SimplyBook (too complex) for most mid-sized service businesses. Handles multiple staff, custom intake forms, and payment integration.
Costs from £12 a month. Particularly good if your website is already on Squarespace, because the integration is native.
Trafft: for trades and local services
A newer tool built specifically for service businesses. Plumbers, electricians, cleaners, landscapers. Handles field staff, travel time between jobs, different service durations, and customer locations.
Costs from £10 a month. Not perfect, but better than trying to make Calendly work for a roofing business.
Setmore: the free tier that scales
Free for up to four staff, which covers a lot of small businesses. Similar features to SimplyBook but cleaner. Good for beauty salons, barbers, small clinics, and personal training.
The paid tiers add payment collection, integrations, and unlimited staff. Worth considering if cost is the main factor and your setup is relatively simple.
Dubsado: for wedding and events businesses
Built for creative businesses that sell packages rather than hours. Wedding photographers, event planners, videographers, designers. Handles proposals, contracts, payment schedules, and client portals, not just bookings.
Costs £33 a month. More expensive than basic booking tools, but it replaces four or five other tools for businesses that work this way.
What to check before choosing
Does it connect to your calendar (Google, Outlook, or Apple). Does it send automatic confirmation emails and reminders. Can customers reschedule or cancel without emailing you. Does it take payment or deposits if you need that. Does it work on mobile both for you and the customer.
Those are the essentials. Everything else is nice-to-have.
The common mistake
Most small businesses pick a booking tool in isolation, without thinking about how it connects to the rest of their setup. The booking does not sync to their accounting software. The customer data does not end up in a CRM. Reminders do not update if the customer changes their phone number.
The point of a booking system is to save you admin time. If you are still copying details between tools, you have not solved the problem. The whole stack needs to talk to itself.
